Executive Coordinator
Responsibilities
Maintain a rolling 24-48-hour view of priorities, meetings, and deliverables to keep the Founder on track
Support research workflows by preparing materials, summarizing information, capturing action items, and organizing notes and follow‑through
Serve as an accountability partner by helping design, refine, and maintain scalable systems and processes to support decision‑making
Create dashboards, trackers, or single‑pane‑of‑glass views for projects, priorities, and workflows
Plan and support firmwide initiatives including systems building, operations support, and internal organization
Own office cadence including ordering lunch, managing supplies, and acting as an enthusiastic culture‑carrier for the firm
Requirements and skills
Strong written and verbal communication skills
Exceptionally organized with excellent attention to detail
Ability to manage competing priorities and switch contexts quickly

Tech‑savvy with strength in structuring systems, workflows, and operational processes

Operations Manager
Responsibilities
Supervise daily operations across departments to ensure smooth functioning and adherence to company standards
Develop and implement operational strategies, policies, and procedures to improve productivity and service quality
Lead, motivate, and manage teams; oversee hiring, training, performance evaluations, and professional development
Prepare and manage operational budgets; allocate resources effectively to meet organizational goals
Analyze workflows and implement process improvements to increase efficiency and reduce costs
Monitor operational performance metrics; ensure compliance with industry standards, regulations, and company policies
Negotiate contracts, manage relationships, and oversee procurement processes
Ensure high levels of customer satisfaction by maintaining quality standards and resolving escalated issues
Prepare detailed reports on operational performance, challenges, and areas for improvement for senior management
Identify operational risks and implement mitigation strategies to minimize disruptions
Requirements and skills
Bachelor’s degree in Business Administration, Operations Management, or related field (Master’s preferred)
Proven experience (typically 5+ years) in operations management or a similar leadership role
Strong leadership, organizational, and problem-solving skills
Excellent communication and interpersonal abilities
Proficiency in operational software and tools (e.g., ERP systems, MS Office Suite)
Knowledge of industry regulations and compliance standards
